Best Channel Manager for Your Bed and Breakfast

A channel manager for bed and breakfasts connects every room you rent to every booking site you use (Booking.com, Airbnb, Expedia and your own website) and keeps availability and rates the same everywhere. When a guest books the Blue Room on Booking.com, it closes on Airbnb and your website within minutes, so you never sell the same room twice.

Innkeeper checking room bookings on a laptop in the breakfast room of a small bed and breakfast

Running a B&B means you are the reservations desk, the housekeeper, the cook and the concierge, often before 9am. The last thing you need is to be logging into three extranets to close a room, or apologizing to a guest who arrives to find their room already taken.

With only a handful of rooms, every double booking hurts. There is no spare room to move the guest into, and a bad review on a small listing stays visible for a long time. That is exactly the problem a channel manager solves.

This guide explains how a channel manager works for a bed and breakfast, which channels make sense for B&Bs, how to handle rooms that are sold separately, what changed in 2026, and how Hosthub handles all of it.

How a channel manager works for a B&B

Here is what happens behind the scenes in a 6-room B&B listed on Booking.com, Airbnb and its own website:

  1. 7:42am: a couple books the Garden Room for two nights on Booking.com.
  2. 7:42am: the booking arrives in Hosthub with the guest details, dates and price.
  3. Within minutes: the Garden Room closes for those nights on Airbnb and on your website.
  4. 9:30am: you raise the rate for next weekend once in Hosthub. It is sent to every channel, with the markup you set for each.
  5. If the booking is cancelled: the room reopens everywhere automatically.

Rooms, room types and the whole house

B&Bs are rarely as simple as one listing per property. Hosthub handles the three setups innkeepers ask about most:

  • Each room sold separately. Every room has its own calendar, rates and listings. This works even when you live in the house and only rent out some rooms, with a shared entrance or a shared bathroom. Just make that clear in each listing’s description.
  • Identical rooms sold as one room type. If you have, say, four identical doubles, you can sell them as one room type with an availability of four. Each booking reduces the availability everywhere, and the room type closes on all channels when the last one is booked. Our team sets this up with you. The rule of thumb: the rooms must be truly identical, so a guest could stay in any of them without noticing a difference.
  • The whole house and individual rooms. Some B&Bs rent the entire house to groups and individual rooms the rest of the time. With rental relations, a booking for the whole house closes every room on every channel, and a booking for one room closes the whole-house listing while the other rooms stay available. See how to set it up.

Which channels to list your B&B on

  • Booking.com: the biggest source of bookings for most B&Bs, and it handles room-by-room inventory well.
  • Airbnb: strong for couples and longer stays. You can list private rooms as well as the whole house.
  • Expedia: reaches travelers who book their flights and hotels in the same place.
  • Vrbo: only for entire properties, so it fits if you also rent the whole house, not for individual rooms.
  • B&B-specific sites such as BedandBreakfast.eu and ebab.com, if your guests come from Europe.
  • Your own website with a booking engine, for returning guests and anyone who finds you on Google.

With a channel manager, adding a channel costs you no extra work, so you can try a new one for a season and keep it only if it performs. See all 200+ channels Hosthub supports.

API vs iCal: why it matters for a small B&B

Many B&Bs start by linking their calendars with iCal, the calendar-export link every booking site offers. It is free, but it only shares “booked” or “available” (no rates, no guest details), and it is slow: each site reads the other’s calendar on its own schedule.

Sync time comparison: API under 5 minutes, iCal around 2 hours on average and up to 12 hours

With iCal, the delay is about 2 hours on average, often 4 to 6 hours and in rare cases up to 12. On a busy summer weekend, that is plenty of time for the same room to be booked twice. A channel manager connected through the channels’ APIs updates everything in minutes and also sends your rates. More on this in why iCal between channels is a bad idea.

Rates, breakfast and commissions

Breakfast and other rate plans

Use rate plans to sell the same room in different ways: with or without breakfast, non-refundable at a discount, or with a minimum stay on weekends and holidays. Hosthub’s rate management lets you set multiple rate plans per channel and push them all from one screen.

Covering each channel’s commission

Every channel takes a different commission. Most innkeepers want to keep the same amount from every booking, whichever channel it comes from, so they add a markup per channel. Careful with the math: because the commission is charged on the final price, a markup equal to the commission is not enough.

Base rate $150 Markup Price on channel You keep
Airbnb, 15.5% host fee +15.5% $173.25 $146.40
Airbnb, 15.5% host fee +18.3% $177.51 $150.00
Channel with 15% commission (example) +15% $172.50 $146.63
Channel with 15% commission (example) +17.6% $176.47 $150.00

The quick formula: markup = commission ÷ (1 − commission). For 15.5%: 0.155 ÷ 0.845 ≈ 18.3%. Booking.com commissions vary by property and by programs such as Genius, so check yours in the extranet before setting the markup.

Hosthub supports both approaches: the same payout from every channel, or the same price on every channel (rate parity). In practice, the vast majority of our customers choose the same payout. And because every platform carries a markup, your own website automatically becomes the cheapest place to book.

What changed in 2026

Airbnb’s 15.5% host-only fee

Airbnb has moved hosts from the split fee (about 3% for the host plus a guest service fee) to a single host-only fee of about 15.5%. Hosts connected through software such as a PMS or channel manager in the US and Canada switched in October 2025, and the last independent hosts in the EU switched on October 13, 2026. If you have not adjusted your Airbnb rates, your payout per booking has dropped. The per-channel markup above is the fix.

Booking.com no longer shares guest phone numbers

Since September 28, 2026, Booking.com no longer sends the guest’s phone number to channel managers or PMSs, worldwide. Bookings still sync normally with names, dates and prices. You can still see the number in the Booking.com extranet or the Pulse app, or collect it, along with the email, arrival time and anything else you need, through an online check-in form that syncs back into the booking.

More than sync: running the B&B from one place

Hosthub is a channel manager and a PMS in one, so the day-to-day of a B&B lives in the same system:

  • One calendar for every room. The multicalendar shows all bookings from all channels. Change rates and minimum stays right from the calendar, and a color bar shows which nights are filling up and which need a promotion.
  • Unified inbox with AI Co-host. Messages from Airbnb and Booking.com in one place. The AI Co-host learns each room’s amenities, house rules and your past conversations, and either replies for you or suggests a reply to approve, which helps when guests write at midnight and you are up at six.
  • Automated messages written once. Messages you set up in Airbnb only work for Airbnb. In Hosthub, the same welcome note, breakfast times and check-out reminder go to every guest, whichever channel they booked on.
  • Phone and walk-in bookings. Add them in seconds and the room closes on every channel.
  • Self check-in. Hosthub can generate a new smart-lock code for every booking and send it to the guest, valid only for their stay.
  • Your team, with the right access. Give housekeeping a view of arrivals and departures without showing them prices or guest contact details.
  • Reports and expenses. Occupancy, ADR, RevPAR, revenue per channel, and a monthly profit and loss once you add your costs.
  • Integrations with dynamic pricing tools such as PriceLabs, housekeeping and task apps, and smart locks.
  • Works on your phone, with push notifications for every new booking.

Direct bookings: keep the commission

Returning guests are a B&B’s best asset, and there is no reason to pay a platform commission every time they come back. Hosthub’s booking engine adds commission-free booking and payment to your website, synced with all your channels:

  • One-time fee of $599, with no commission per booking. It works with your Hosthub subscription, which keeps it in sync with your other channels.
  • Card payments through Stripe, PayPal or Viva Wallet, or bank transfer. Charge the full amount or a deposit.
  • Works with existing sites on WordPress, Wix, Joomla or Squarespace. No website yet? Our website builder service creates one for you.

At a 15.5% fee, a $400 stay booked direct instead of through Airbnb saves you $62. About ten returning guests cover the booking engine.

What Hosthub costs

Hosthub is priced per room or unit per month, with 20% off when you pay annually and no setup fee. Every plan starts with a 14-day free trial. See exact prices for your number of rooms on the pricing page.

About the Zero Double Booking Guarantee: with an API connection, double bookings are rare, but two bookings can still arrive in the same second on two channels. If that happens, we talk to the second guest, find them accommodation of the same or better value, cover the relocation cost up to your plan’s limit and work with the channel so your account is not affected. You just get an email saying it has been handled. The guarantee applies to API-connected channels. Read the details.

Getting started in four steps

  1. Create your listings on the channels first (or check the ones you already have). Photos and descriptions live on each channel.
  2. Connect your channels. Enter your channel logins and Hosthub pulls in your listings.
  3. Link each room in Hosthub to its listings on each channel. Upcoming bookings come in automatically. Past bookings can be added by hand if you want them in your reports.
  4. Remove the old iCal links between channels, set your per-channel markups and you are live.

For a B&B with up to about 10 rooms, setting it up yourself usually takes 2 to 3 hours. On the Pro plan, our team does the setup and the move from your current system for you.

Frequently asked questions

What is a channel manager for a bed and breakfast?

It is software that connects your B&B’s rooms to all the booking sites you use and keeps availability and rates in sync automatically, so a room booked on one site closes on all the others and you never double-book.

Do I need a channel manager if I only have 3 or 4 rooms?

If you list on two or more sites, usually yes. With few rooms there is no spare to move a guest into, so one double booking costs you a refund, a scramble to find another room and often a bad review. A channel manager also saves you the time of updating every site by hand.

Can I rent individual rooms and the whole house?

Yes. With rental relations, a whole-house booking closes every room on every channel, and a room booking closes the whole-house listing while the other rooms stay available.

Can I sell identical rooms as one room type?

Yes. Identical rooms can be grouped into one room type with shared availability, and each booking reduces the availability on every channel. Our team sets it up with you.

Can I list private rooms on Vrbo?

No. Vrbo only lists entire properties. For individual rooms, use Booking.com, Airbnb and Expedia, and keep Vrbo for whole-house rentals.

Can I offer a rate with breakfast and one without?

Yes. Set up multiple rate plans per channel, for example “with breakfast”, “room only” and “non-refundable”, and manage them all from Hosthub.

Does Hosthub work with my dynamic pricing tool?

Yes. Tools such as PriceLabs send their recommended rates to Hosthub, and Hosthub pushes them to all your channels.

How long does it take to set up?

For a B&B with up to about 10 rooms, about 2 to 3 hours on your own. On the Pro plan, our team sets everything up for you.

Is there a free trial?

Yes, 14 days, on both plans.
