Channel Manager for Serviced Apartments: Sync Every Unit, Every Channel

A channel manager for serviced apartments connects every unit you operate to every booking channel you sell on (Booking.com, Expedia, Airbnb, Vrbo, Agoda and your own website) and keeps availability, rates and stay rules identical everywhere. When one apartment is booked on any channel, it closes on all the others within minutes, whether you run 5 units in one building or 150 across a city.

Serviced apartments sit between a hotel and a vacation rental. You sell like a hotel, often several identical units in the same building, across many channels. You operate like a rental, with no 24-hour reception, guests who stay a night or a month, and owners, cleaners and maintenance teams to coordinate.

That mix is exactly where generic tools break down. A vacation-rental tool may not handle identical units well, and a hotel system may be too heavy and too expensive for apartments without a front desk.

This guide explains what a channel manager has to do for a serviced-apartment operation, how to set up identical units, which channels to use, how to handle short and longer stays, and how Hosthub handles all of it.

Identical units, unique units and how to set them up

How you structure your inventory decides how well you sell it. Hosthub supports three setups, and most operators use a mix:

  • Identical units as one room type (multi-unit). If a building has, say, eight identical one-bedroom apartments, you sell them as one apartment type with an availability of eight. Each booking reduces the availability on every channel, and the type closes everywhere when the last unit is booked. This is how hotels and aparthotels sell, and it is what channels like Booking.com and Expedia expect. The rule of thumb: the units must be truly identical, so a guest could be placed in any of them without noticing a difference. A 25 m² studio and an 85 m² two-bedroom cannot share a type. Our team sets this up with you.
  • Unique units sold individually. Penthouses, apartments with a terrace or anything guests choose for a specific feature get their own calendar, rates and listings.
  • Combined units. If two adjoining apartments can be booked together as one larger unit, rental relations close each apartment when the combined unit is booked, and the combined unit when either apartment is booked.

Tip: decide how to group your units before you create listings on the channels. If listings are already set up as room types on the channels, they connect as they are. If each unit is listed separately, our team adapts the connection.

Which channels to sell serviced apartments on

  • Booking.com: usually the biggest source of bookings, and built for room-type inventory.
  • Expedia: strong with business and North American travelers.
  • Airbnb: popular for longer stays and travelers who want a full kitchen.
  • Vrbo: families and groups booking whole apartments.
  • Agoda: reach in Asian markets.
  • Your own website with a booking engine, for returning guests and corporate clients.

Hosthub connects to 200+ channels, and you can connect several Airbnb or Booking.com accounts to the same Hosthub account, which helps if units are listed under different owners’ accounts.

API vs iCal at scale

iCal, the free calendar link every channel offers, only shares “booked” or “available”. It sends no rates and no guest details, and it is slow, because each channel reads the others on its own schedule.

Sync time comparison: API under 5 minutes, iCal around 2 hours on average and up to 12 hours

With one apartment, a 2-hour delay is a risk. With 50 units across five channels, it is a certainty that something will be double-booked. A channel manager connected through each channel’s API updates availability and rates in minutes. More on this in why iCal between channels is a bad idea.

Short stays, long stays and rates

Serviced apartments earn from both sides: one-night business trips and month-long relocations. A few practices make the mix work:

  • Minimum and maximum stays by period. Set a 2-night minimum on weekends, a 3-night minimum in peak season or a maximum stay on specific units, from one place. You can change them right from the Hosthub calendar.
  • Length-of-stay discounts. Weekly and monthly discounts attract the longer stays that keep occupancy steady and cut turnover costs. Set them on the channels that support them, such as Airbnb.
  • Multiple rate plans. Flexible and non-refundable rates, or a rate with cleaning included for longer stays, managed per channel through rate management.
  • A markup per channel. Commissions differ by channel. Set one base rate and a percentage markup per channel to keep the same payout from every booking. Remember that the commission is charged on the final price: to cover a 15.5% fee you need a markup of about 18.3%, not 15.5%.
  • Dynamic pricing. If you use a tool such as PriceLabs, it sends its rates to Hosthub every day and Hosthub pushes them to all your channels.

Running the operation without a front desk

Hosthub is a channel manager and a PMS in one, so the operation runs from the same system:

  • Multicalendar for every unit. Search and filter by building or unit name, and see a daily occupancy bar that shows which nights need attention. It is built to stay fast with hundreds of units.
  • Online check-in forms collect guest details, arrival times and contact information before arrival, and sync back into the booking.
  • Self check-in. Hosthub generates a new smart-lock code for each booking, valid only for that stay, and sends it to the guest.
  • Unified inbox with AI Co-host. Every guest message in one place. The AI Co-host learns each unit’s amenities, rules and your past conversations, and answers the repetitive questions, or suggests replies for your team to approve.
  • Automated messages written once and sent to every guest, whichever channel they booked on.
  • Team management. Give housekeeping, maintenance and reservations staff access to the units and information they need, and nothing else.
  • Integrations with housekeeping and task-management apps, smart locks, noise monitoring and pricing tools, plus the Hosthub API for your own systems.
  • Mobile. Everything works from your phone, with push notifications.

If you manage units for owners

Many serviced-apartment operators run units that belong to different investors. Hosthub includes:

  • An owner portal where each owner sees only their own units: bookings, occupancy and revenue.
  • Your management fee calculated on each booking, so owners can see their share and yours.
  • Automated owner reports, so you stop building statements by hand every month.
  • Expense management that splits shared costs, such as a building’s utilities, across units, with a profit and loss per unit or per building.

What changed in 2026

Airbnb’s 15.5% host-only fee

Airbnb has moved hosts to a single host-only fee of about 15.5%, replacing the split fee. Hosts connected through software in the US and Canada switched in October 2025, and the last independent hosts in the EU switched on October 13, 2026. If your Airbnb rates were set for the old model, your payout per booking has dropped. A per-channel markup fixes it.

Booking.com no longer shares guest phone numbers

Since September 28, 2026, Booking.com no longer sends guest phone numbers to channel managers or PMSs, worldwide. For an operation without a front desk, that matters. Collect phone numbers through online check-in forms, or find them in the Booking.com extranet.

Direct and corporate bookings

Corporate clients, relocation agencies and returning guests should not cost you a platform commission. Hosthub’s booking engine adds commission-free booking and payment to your website, synced with every channel:

  • One-time fee of $599 and no commission per booking. It works with your Hosthub subscription, which keeps it synced with your channels.
  • Card payments through Stripe, PayPal or Viva Wallet, or bank transfer, with full payment or a deposit.
  • Works with existing sites on WordPress, Wix, Joomla or Squarespace, or our website builder service creates one for you.

Bookings that come in by phone or email from corporate clients can be added to Hosthub in seconds, and the unit closes on every channel.

About the Zero Double Booking Guarantee: even with API connections, two bookings can arrive in the same second on two channels. If that happens, we talk to the second guest, find accommodation of the same or better value, cover the relocation cost up to your plan’s limit and work with the channel so your account is not affected. The guarantee applies to API-connected channels. Read the details.

Switching from another system

Moving a large portfolio is the part operators worry about most. On the Pro plan, our team handles the migration from your current system (another channel manager, a PMS or your channels directly) and hands you a working account with every unit connected. You only need to be reachable for the verification codes the channels send during the connection. Upcoming bookings come in automatically. Past bookings can be added if you want them in your reports.

If you prefer to do it yourself, you enter your channel logins, Hosthub pulls in your listings, and you link each unit or apartment type. Plan the switch for a quieter period, and remove any old iCal links between channels once everything is connected.

Frequently asked questions

What is a channel manager for serviced apartments?

It is software that connects all your apartments to the booking channels you use and keeps availability, rates and stay rules in sync automatically, so a unit booked on one channel closes on all the others.

Can I sell identical apartments as one room type?

Yes. With multi-unit, identical apartments are grouped into one type with shared availability. Each booking reduces it on every channel, and the type closes everywhere when the last unit is booked.

Is a hotel channel manager better for serviced apartments?

Not necessarily. Hotel systems handle room types well but often assume a front desk, a restaurant and a night audit, and cost accordingly. Hosthub combines room-type inventory with the tools apartments need: self check-in, owner reporting and guest messaging without a reception.

Can I manage both nightly and monthly stays?

Yes. Set minimum and maximum stays per period from Hosthub, use length-of-stay discounts on the channels that support them, and add direct long-stay bookings manually so they block every channel.

Can my owners see their own units?

Yes. The owner portal shows each owner only their own units, with bookings, occupancy and revenue, and automated owner reports replace monthly statements.

Does Hosthub work with PriceLabs and other tools?

Yes. Hosthub integrates with dynamic pricing, housekeeping, smart-lock and guest-experience tools, and offers an API for your own systems.

How many units can Hosthub handle?

Operators use Hosthub for anything from a handful of apartments to several hundred units. For more than 100 units, contact us for a better rate.

Is there a free trial?

Yes, 14 days, on both plans.
